Rent Manager reporting with AI

Rent Manager has hundreds of reports. The hard part was never finding a report — it was pulling six of them, exporting each one, and stitching them together in Excel to answer one question. That's the part AI removes.

What actually takes the time

Ask most operators what they spend their reporting time on and you won't hear "running reports." Running a report takes thirty seconds.

The time goes into everything around it. Deciding which of the hundreds of reports has the number you want. Running it once per property because it won't roll up the way you need. Exporting each one. Pasting them into a spreadsheet. Reconciling why two of them disagree. Then, finally, thinking about what the numbers mean — which was the actual job, and which gets the least time because the first four steps ate the afternoon.

Multiply by a portfolio, and it's not minutes. It's Sunday.

What changes when the AI does the pulling

The shift is that you stop describing reports and start describing questions.

Nobody actually wants a rent roll. They want to know whether the new manager at Cedar Ridge has gotten vacancy under control. The rent roll is just the closest available proxy — four reports and a pivot table away from the real answer.

With AskRentAI connected, you ask the real question. Claude, ChatGPT, Gemini, or Grok figures out which Rent Manager data it needs, pulls it live, combines it, and answers in words. The report-selection step disappears, because you never needed a report — you needed what was inside it.

Live, not exported. Every answer is pulled at the moment you ask. There's no sync, no nightly refresh, no stale copy of your database sitting somewhere. The numbers in the chat are the numbers in Rent Manager, right now.

The questions operators actually ask

Financial

"Run a year-over-year P&L and tell me which expense lines moved most."

The variance and the explanation, not two columns to compare by eye.

"Which properties are below budget on NOI this quarter, and by how much?"

One answer instead of one P&L per property.

"What's my expense ratio by property, worst to best?"

A ranking that would otherwise be a manual spreadsheet build.

Delinquency and collections

"Who's over 30 days delinquent, and how much is it in total?"

Aged receivables, ranked, across every property at once.

"Is delinquency getting better or worse over the last six months?"

The trend, which no single report gives you.

Occupancy and leasing

"What's my occupancy right now, by property?"

A live count, not last month's snapshot.

"Which leases expire in the next 90 days and what are those units paying?"

Renewal exposure, before it becomes a vacancy problem.

"Where are my prospects coming from, and which sources actually convert?"

Lead source attribution without building a marketing report.

Operations

"How long are work orders staying open, by property?"

A manager-performance question disguised as a maintenance one.

"How much did I spend with each vendor last year, and did anyone's pricing jump?"

Vendor spend analysis, which is nobody's favorite afternoon.

More in the first questions guide.

What it doesn't do

Worth being clear, because overpromising here is easy.

It doesn't replace Rent Manager. Rent Manager stays the system of record. AskRentAI reads from it and never writes to it — it cannot post a charge, edit a lease, or change a tenant record.

It isn't a dashboard product. There's nothing to build, configure, or maintain. If you want a pixel-perfect recurring board packet, that's still a report. AskRentAI is for the questions between the report packets.

It doesn't replace your accountant. It reads what's in Rent Manager. If something is miscoded in the ledger, it will faithfully tell you about the miscoded number.
